General Booking and Payment Conditions




    

        

            




1. Make Booking



If the traveler wishes to book the trip, he/she must confirm his booking decision to Mystika by specifying the offer and quotation that suits him. Then Asia Mystika Travel proceeds to the reservation of all the services provided in the offer and reserves the right to propose equivalent alternatives in case of unavailability of one or more planned services (accommodation, domestic flights, train, etc.).



Once all these reservations have been made, the final travel program will be sent to the traveler for final validation.



2. Validity of Quotation



All prices quoted to you are on a NET basis and in US Dollars, which is valid according to the date specified on quotations and invoices issued.

The validity of offer/quotation is for a maximum of 7 days, unless mentioned otherwise. Some hotel tariffs and airfares quoted may be special offers with a shorter time frame of for ex 24/48 hours or as available in order to be able to offer the best possible rates.



3. Deposit & Payment of the Balance

It may be requested to start working on a file and to secure reservations for services such as flights, cruises, hotels as well as for certain peak travel periods.



The need for deposits and the amount and conditions applying to them (refundable, non-refundable) will be mentioned by our specialist on a case by case basis at the time of travel planning and quoting.



    
	
  • Payment:

Unless otherwise agreed by Asia Mystika, final payment is due as per invoice latest 15 days prior to arrival for Individual travelers (Up to 8 persons) OR 30 days to arrival for Group (from 9 person). If booked less than 30 days/15 days from arrival.



In case credit terms have been granted, we request payment to be made timely and it must be received on the date set on the invoice.



4. Payment Method



Asia Mystika Travel accepts payments in US Dollars or Vietnamese Dongs under certain conditions, detailed below:



CREDIT CARD



Our specialists will send you a secure payment link gateway. Kindly note that for payments by credit cards, it’ll be applied a bank fee of 3.3% (for Visa, Master, ect) or 4% bank fees (for AMEX cards).



As this payment method is always in Vietnamese dong, the amount to be paid (agreed in the travel program) will be converted into Vietnamese (VND) according to the Vietcombank exchange rate closest to the payment date if the quote is made in Israeli Shekel (ILS), Singapore Dollars (SGD) or American Dollars (USD).



BANK TRANSFER



The traveler can also pay by bank transfer. Bank charges, determined by the traveler's bank and that of Asia Mystika (Tam Vuong Group), are the responsibility of the travelers.

5. Cancellation Term



Cancellation must be made in writing by email and be received in time (please keep in mind weekends, public holidays, and different time zones on both ends).

The charges below apply unless different terms have been mentioned at quotation/booking time.



Individual traveler (1 – 8 people)

  • Less than 48 hours before arrival: 90% of total tour cost

  • Shortening or cancellation on site: 100% of total tour cost

Group traveler (From 9 people)



    
	
  • 31 days and more before arrival: Non-refundable deposit (if any)

  • From 30 days to 22 days’ prior arrival date: Non-refundable deposit or 20% of total tour cost

  • From 21 days to 15 days’ prior arrival date: Non-refundable deposit or 70% of total tour cost

6. Itinerary Changes



Changes may be needed to be made for different reasons during a trip. We will make every effort to assist clients who wish to make changes to their Itinerary after departure, and we will advise of costing differences and collect payment on the spot.

We also reserve the right to modify or change the Itinerary in the best interests and the safety of the group, and will inform client/agent if these changes are unavoidable.



7. Child Policy



For Asia Mystika Travel Experiences (excursions and day trips) children between the ages of 4 and 11, at dates of travel, will receive a 15% discount off the Adult price (based on total travelers - adults + children 4 -11), unless specified otherwise in a proposal.

For all tours involving accommodation, prices for children will be calculated to actual costs and all child discounts received from suppliers such as reduced entrance fees or value ads for children will be passed on to the clients. Accommodation is charged according to the individual hotel’s tariff and children occupying their own rooms will be charged as adults. During the booking process we will do our utmost to advise you of child discounts and extra bedding requirements for children.

All flights are quoted separately and children are charged as per airline policies. Infants under two years of age will be exempt from most charges except as mandated by airline policies.



8. Obligation of Traveler



Before arrival, travelers need to ensure they can adapt the requirement follow: 



    
	
  • Passports need to be valid 6 months AFTER the date of departure from the last country(ies), and at least two blank pages.
    • 
	
  • Physical condition, vaccinations.
    • 
	
  • Visa (if required by the country or countries of destination). We can assist the traveler in the process of obtaining visa.
    • 
	
  • Insurance: The Travelers are required to have full travel insurance. It is the responsibility of the travelers to read their insurance policy before they travel and ensure that the insurance scheme provides the guests with the requisite level of cover.
